How to Build an AI-Powered Seller Intake System

The Problem

When a homeowner says "I'm thinking about selling," the clock starts. AI can help you become better prepared quicker, respond faster, and brainstorm good questions to ask the seller.

But you can't be prepared without information. How old is the roof? Is there a mortgage? Does the seller need to buy before they sell? What is their timeline? Gathering all of that over phone calls and texts is slow, and the details tend to get lost.

The Old Way

  1. Seller inquiry arrives
  2. You call or text to introduce yourself
  3. You ask questions piece by piece over several messages
  4. You take notes on paper or in your head
  5. You re-enter what you remember into your CRM
  6. You walk into the consultation knowing about half of what you need

The System

Build a workflow that collects the key facts before you meet:

  • Inquiry arrives → the seller automatically receives a short intake form
  • They submit it → their answers automatically go into your CRM
  • AI summarizes the answers → you get a one-page brief
  • They get a confirmation → with a link to schedule an appointment

You show up knowing the property, the goals, and the timeline.

Step-by-Step

Step 1: Build the Form

Use Google Forms, Typeform, or any form tool. Keep it to about 10 questions and 5 minutes. Cover:

  • Name, phone, email, and preferred contact method
  • Property address
  • Property basics: beds, baths, approximate square footage, year built
  • Updates and known issues: what they have replaced or repaired, and anything they know needs attention
  • Occupancy: owner-occupied, tenant-occupied, or vacant
  • Timeline: when they would like to move
  • Reason for selling (optional, but it helps you represent them)
  • Next move: are they buying another home, renting, or relocating?
  • Mortgage and liens: do they know roughly what they owe? Is there a lien? (Keep this optional and general)
  • Anything else you should know?

Do not ask for private information like Social Security numbers, bank details, or account numbers.

Step 2: Connect It to Your CRM

Use your CRM's form integration, or a tool like Zapier or Make, to send each submission to a new contact record. Tag the lead as "Seller" and add the timeline as a field so you can sort by urgency.

Step 3: Have AI Write the Brief

Send the form answers to an AI tool and ask for a one-page summary. A prompt like this works well:

I'm a real estate agent preparing for a listing consultation. Here are the seller's intake answers:

[paste form responses]

Please give me:
1. A 3-sentence summary of the seller's situation and goals
2. Key facts about the property
3. Possible concerns or complications (timeline pressure, liens, tenant occupancy, repairs, buying contingencies)
4. 5 smart questions I should ask at the consultation
5. A short, friendly confirmation email I can send them

Do not assume or invent details that were not provided. If something is missing, list it as "not provided."

Review the brief before you rely on it. Remember, it is a starting point, not a verified document.

Step 4: Send an Instant Confirmation

An automatic reply that arrives within a minute does a lot of work. Include:

  • A thank-you and what happens next
  • A link to book a consultation
  • A short checklist of what to gather (recent mortgage statement, HOA information, a list of updates and receipts, etc.)

Privacy and Care

You will be holding personal and financial details. A few ground rules:

  • Use a form and CRM your brokerage approves
  • Don't paste more sensitive information into an AI tool than you need to. Names and addresses are usually unnecessary for the summary
  • Tell sellers how you handle their information
  • Follow your brokerage's AI policy, and see my guide, Using AI Without Burning Your Clients' Trust

What You Get

Like any system you build with AI, it will probably take some tweaking. But if done well, the system gives you a more prepared first conversation, a record of everything the seller told you, and a faster response. Start with the form this week. You can add the CRM connection and AI brief as you go.
